Position Title: Executive Assistant

Status: Full-Time

Job Summary:

Provides all administrative assistant responsibilities for the Behavioral Health Center. Acts as receptionist with responsibility to schedule appointments, coordinate administrative functions, answer phones, and complete clerical duties within the department as assigned. Maintains regulatory body requirements, contracts, policies and procedures and participates in performance improvement activities.

Essential Functions:

  • Schedules all appointments, meetings for Administration by maintaining calendars and/or through written memos. Prepares and distributes monthly education/meeting calendars.
  • Screens all incoming telephone calls for Administration through verbal report or written phone memos
  • Types all correspondence, reports as prepared by the Administrator, Directors, outside individuals and physicians when needed.
  • Attends/records/distributes minutes for various meetings including preparation of agendas and packets.
  • Prepares check requests for Administration.
  • Opens and distributes all mail for Administration.
  • Copies and distributes materials as requested by the Administrative Team as evidenced by promptness and accuracy.
  • Makes sound decisions within the range of expectation for the position. Exhibits willingness to resolve problems as they arise.
  • Has willingness and ability to perform additional duties and responsibilities in different areas of the department on a ‘as-needed’ basis or as determined by management.
  • Participates in group projects and staff meetings with suggestions that enhance the work environment and increase productivity.
  • Communicates well with supervisor reporting problems with equipment, supplies and procedures. Requests assistance as appropriate.
  • Maintains confidentiality as related to job responsibilities.
  • Processes and communicates verbal and written feedback from patients, family members/significant others, medical staff, visitors and coworkers indicating behavior conducive to positive guest relations.
  • As observed by representatives of management, all interactions are conducted in a professional manner. Consistently strives to understand, anticipate and meet the needs, expectations and satisfaction levels of patients and other customers.
  • Maintains current hospital licensure and contracts. Prepares licensing application, contracts and renewals for Administrative approval.
  • Errors, inefficiencies, and inaccuracies are brought to management’s attention with suggestions for improvement. Develops innovative solutions to departmental problems.
  • Maintains current policies and procedures with online policy manuals.

Requirements:

  • High School diploma or equivalent
  • Executive Level Administrative Experience
  • Proficiency in Personal computer use including Microsoft Office
  • Ability to handle multiple priorities at a fast pace
